Quick answer: “Business management software” can mean an all-in-one suite that runs most of a company (Zoho One, Odoo, Oracle NetSuite, Bitrix24, Apptivo), a platform for service businesses that combines clients, projects, time and billing (Scoro, iBE.net, HoneyBook, StudioCloud, todo.vu), or a project and team tool (ProofHub, Jira, Trello, Favro, TimeCamp). All 15 tools on our original list were still available in October 2026. Choose by the problem you need to fix first: scattered customer data, unbilled time, missed deadlines or disconnected finance.

Business Management Software and Systems

As a business grows, owners end up juggling sales, projects, staff, invoices and customer service across spreadsheets, email and separate apps. Business management software brings some or all of that into one system, so information is entered once and everyone sees the same picture.

We first published this list as “15 Best Business Management Software and Systems” in 2020. When we checked every product again in October 2026, all 15 still existed, but several had changed focus: Scoro and iBE.net now target professional services firms, HoneyBook calls itself a client relationship platform, and Favro focuses on planning for tech and games studios. Each entry below says what the tool is really for today.

How to choose business management software

  • Suite or best-of-breed? An all-in-one suite reduces integrations and duplicate data but may be weaker in some areas. Separate specialist tools can be better individually but need connecting.
  • Your business model. Product businesses need inventory, orders and accounting (Odoo, NetSuite, Zoho One). Service businesses billing time need projects, timesheets and invoicing (Scoro, iBE.net, todo.vu). Solo creatives and freelancers need proposals, contracts and payments (HoneyBook, StudioCloud).
  • Local accounting and tax. If the suite includes accounting, check support for your country’s rules, such as GST invoicing in India, or plan to connect a local accounting package.
  • Pricing structure. Some tools charge per user, others a flat fee (ProofHub advertises flat pricing with unlimited users). Model your cost at today’s team size and in two years.
  • Adoption. The best system is the one your team uses. Run a trial with real work, and check mobile apps for people away from a desk.
  • Data ownership. Check export options and, for open-source options such as Odoo, whether you want to self-host or use the vendor’s cloud.

The 15 tools in detail

1. ProofHub

ProofHub combines project management, collaboration and reporting: task lists, Gantt charts, Kanban boards, milestones, dependencies and calendars, plus discussions, chat, file sharing, and proofing with markup and approvals. Its main selling point is flat pricing with unlimited users and no per-user fee. A free trial is available.

2. StudioCloud

StudioCloud calls itself free business management software. It covers client and lead management, scheduling of clients, events, staff and locations, invoices and quotes from price lists, and bookkeeping, with Mac and Windows software plus iPhone, iPad and Android apps. It targets photographers, videographers, tattoo artists, massage therapists, designers and similar appointment-based businesses, which is narrower than the original article suggested.

3. todo.vu

todo.vu offers task management, time tracking and billing for freelancers, consultants and teams. You set billing rates by project and staff member, mark time as billable, and produce detailed invoice and time reports for clients, with recurring tasks that sync with a calendar. As the original article said, it suits freelancers and small agencies tracking work across many client projects.

4. Scoro

Scoro is now positioned as professional services automation (PSA) software for consultancies, agencies, IT, architecture and engineering firms. It brings work and task management, project management, time and cost tracking, resource capacity planning, CRM and pipeline, estimating and budgeting, bills and expenses, and client invoicing together, with an AI assistant. A free trial is offered.

5. Zoho One

Zoho One bundles Zoho’s business apps, which Zoho says number more than 45, across sales, marketing, finance, HR and operations, including CRM, Bigin, Bookings, Books, Invoice, Expense, Billing and Payroll. Zoho offered a 30-day free trial with no card details in October 2026. It suits businesses that want one vendor and one login for most departments.

6. Odoo

Odoo is an open-source ERP and CRM made of modular apps: accounting, invoicing and expenses; CRM, sales, subscriptions, point of sale and rental; website, eCommerce, events and eLearning; inventory, manufacturing, PLM, quality and purchasing; and HR, payroll and recruitment. You can download Odoo or use it in the cloud, and try it free. As the original article said, its apps integrate so processes can be automated end to end.

7. iBE.net

iBE.net is now a professional services operations platform. It unifies CRM and sales pipeline, project delivery, resource management, HR, timesheets, expenses, billing and invoicing, a help desk and analytics, with mobile access and AI features. The original article’s description of invoices, expense tracking and CRM with project details still applies, now aimed at services firms.

8. TimeCamp

TimeCamp is time tracking and project profitability software. It offers manual and automated time tracking, AI timesheets, a resource planner, reporting, invoicing, billing and budgeting, expense tracking, attendance and time-off management, and optional activity monitoring, with integrations including Jira and Asana. You can start free.

9. Oracle NetSuite

NetSuite, owned by Oracle, is a cloud ERP suite covering ERP and financials, CRM and ecommerce, with modules for order management, projects and employee management. The original article’s “40,000 businesses” figure is not something we could confirm, so we have removed it. NetSuite suits growing mid-sized companies; pricing is quote-based.

10. Apptivo

Apptivo is CRM-centred business management software, with CRM, help desk, field service and campaigns products and industry editions for sectors such as travel, real estate and retail. Customers quoted on its site mention invoicing and moving from lead to opportunity to project in one place. A free trial is offered.

11. Bitrix24

Bitrix24 is an online workspace that combines CRM (leads, deals, pipelines and an omnichannel contact centre with live chat, WhatsApp, Instagram, telephony and email), tasks and projects, chat, video calls, online meetings, calendars, file storage and online documents, with automation and an AI assistant. You can start for free, and an on-premise edition is available. The internal social network the original article mentioned has grown into this broader collaboration suite.

12. Jira

Jira, from Atlassian, is project and issue tracking software, built originally for software teams and now also marketed to marketing, design, operations and IT teams, with Atlassian’s Rovo AI features. You can get it free, with paid plans for larger teams. As the original article noted, it is strongest for software development planning, boards and reporting.

13. HoneyBook

HoneyBook is now an AI-powered client relationship platform for small and independent service businesses such as photographers, venues, designers and consultants. It covers CRM, proposals, scheduling, contracts, invoices and payments, automations, phone and SMS, and integrations, and it connects to ChatGPT. You can get started free without a credit card.

14. Favro

Favro is a collaborative planning platform that now focuses on tech companies and games studios. Teams build their own planning boards, workflows, automations and dashboards without code, with ready-made setups for Kanban, Scrumban, roadmaps and CRM. The original article presented Favro as suiting any team; its marketing is now much more specialised.

15. Trello

Trello, part of Atlassian, organises work on visual boards. It now adds an Inbox for capturing to-dos from email and Slack, a Planner that syncs with your calendar, automation, Power-Ups that link other tools, templates and integrations. You can sign up free. It suits simple task and project tracking rather than finance or CRM.

Frequently asked questions

What is business management software?

It is software that brings several business functions, such as customers, projects, staff time, invoicing and reporting, into one system so information is shared rather than re-entered.

What is the difference between ERP and business management software?

Enterprise resource planning (ERP) systems such as NetSuite and Odoo are a heavyweight type of business management software that also run accounting, inventory and supply chain. Lighter tools focus on clients, projects and time.

Is there free business management software?

Several tools have free plans or free starting tiers, including Bitrix24, StudioCloud, Jira and Trello (TimeCamp also lets you start free), and Odoo can be self-hosted. Free tiers limit users or features, so check what you would pay as you grow.

Can one tool run my whole business?

Suites such as Zoho One, Odoo and NetSuite come close, but most businesses still connect a few specialist tools. Aim for the fewest systems that cover your core processes well.

For deeper comparisons of individual areas, see our guides to CRM systems, accounting software for small business and workflow management software.

Product details were checked in October 2026 against each vendor’s official website. Features and plans change often, so confirm details with the vendor before you buy.
